As I go through how various functions in GTM can leverage GenAI (I shared about SDR, PMM and Enablement in my last post), this one is for my friends in consulting / professional services. As someone that runs their own consulting firm, one of the activities I spend a lot of time on is generating proposals / SOWs for clients. The typical process I follow is below
I typically have a few calls with clients, to capture all the information I need to generate a proposal. I religiously record all my calls (thanks Gong) and don't take any notes. If you are a note taker, then this is still relevant to you but you might have a few more calls as you might need to have some clarification calls.
When I am ready to start creating the proposal, I review all the calls and then get down to writing. This process typically takes me about 2 hrs per proposal. It depends on the proposal and some take less and some take more. My consulting projects are still relatively small and I am sure if you do larger more complicated projects this will take you a lot longer and you will have multiple people to coordinate with.
After having done this process a few times, I decided to see if I could leverage GenAI to help with this process. So for my latest client project, I decided to use AnyQuest , the main reason being that it is super easy and intuitive to build a repeatable agent with them. For this client, I had a few Gong calls and a few Fathom calls. This was not an issue as both of them generated call transcripts. All I did was upload my call transcripts, build out the prompts and I had a customer facing proposal ready to go. I spent 15 mins reviewing it to fill out some of the blanks / fix some things it missed and I sent it out to the customer.
The process now looked like this -
In terms of productivity and time savings, this took a 2 hr process and brought it down to 15 mins. An 8X reduction in time. Assuming I do 10 proposals a month, that goes from 20 hrs to 2.5 hrs. While the time savings is great, it also speeds up a job that I don't really enjoy.
There is a lot of great information just sitting in the call recordings and GenAI is able to read all of it and generate a pretty good SOW / proposal. It captures all the details, is able to look across multiple calls and once given the framework I want to use, is able to generate all the information I need. So I asked it to generate a proposal and it created one with the following sections.
Executive Overview
Project Overview (Objectives, Duration, Cost)
Deliverables
Use Cases
Next steps
It is amazing how it is able to analyze the call transcripts and pull out just the information I needed and organize it in a way that I could quickly send to a client.
Just as I finished building the agent in AnyQuest and was feeling all good. I got a call from another prospective client and we had a long discussion on the phone and guess what - since it was on my phone it was not recorded. So that night I had to do this process the old way and it was so obvious to me how much time I was spending and how easy it was to automate this.

Record all your calls. There is so much goodness in your calls and this is just one example of how to use the calls.
